Job Description Summary:

The Development & Regional Representatives Assistant manages all contributions and fees from receiving funds to thanking donors. This position also provides back-up for bookkeeping and administrative functions.

Supervisory Responsibilities:

The Development & Regional Representative Assistant does not have supervisory responsibilities.

Job Duties

Development

  • Maintain CRM database for all donors and contributions
  • Record contributions from all sources in database
  • Prepare and distribute receipts and thank-you letters to donors and churches on a weekly basis
  • Participate in development of fundraising appeals including but not limited to:
    • Preparing mailing lists
    • Design and formatting of multiple versions
    • Liaise with printing and mailing house
  • Make personalized thank you phone calls, note cards, etc.
  • Respond to requests from staff, volunteers, and the public for Development-related information
  • Prepare regular reports for CDO and other staff as required
  • Lead move of receipt production from accounting system to CRM
  • Participate in regular meetings of development team, including cohort of volunteer development consultants
  • Participate actively in all aspects of special fundraising initiatives, including campaigns
  • Participate actively in process of reviewing and revising internal development processes to make them efficient and effective
  • Participate in fundraising research as required
  • Collaborate with MWC colleagues for effective development work

Regional Representation (fair share and networks)

  • Prepare and distribute receipts and thank-you letters for fair share contributions
  • Prepare and distribute receipts and thank-you letters for network fees
  • Support the Regional Representatives and carry out the following duties:
    • Prepare and send correspondence (via email and WhatsApp) from Regional Representatives to member churches, congregations, and church leaders around the world
    • Update churches’fair sharecontributions in the database, and send updates and reminders to member churchesthree times a year
    • Maintain Young Anabaptist Mennonite Exchange Network (YAMEN!) information in the database, and send updates to YAMEN! alumni
    • Liaise with the Administrative Assistant in Bogota to maintain database data for member churches and their congregations

Other

  • Provide backup support for bookkeeping and administrative assistant functions
  • Monthly reconciliations between CRM and accounting system
  • Other duties as may be assigned from time to time

Qualifications and Competencies

Qualifications

  • Education: university degree
  • Experience: one to two years of relevant service experience preferred
  • Experience with Customer Relationship Management (CRM) applications preferred
  • Familiarity and understanding of global Anabaptist communities
  • Membership: membership in a MWC member church
  • Language: fluency in at least one MWC languages (English, French, Spanish) desired
